Site visits work best when they have a clear purpose. Instead of trying to review everything at once, focus on the work currently underway, the next milestone and decisions that could hold up progress.

Prepare before arriving

Check the latest approved drawings and the previous visit notes. Write down open questions, pending selections and any items that need a decision. Confirm who should attend, especially when a design or services detail needs the relevant professional on site.

Observe and record precisely

For each observation, capture the date, location, related drawing or room, and a photo where appropriate. Describe what is visible without turning an observation into an unverified technical conclusion. If there is a concern about safety, structure or compliance, refer it promptly to the responsible professional.

Leave with owners and dates

Turn each open point into an action with a named owner and a target date. Separate information requests from decisions and record who approved any change. Share the notes with the project team so a verbal conversation does not become the only record.

Close the loop next time

Start the following visit by reviewing previous actions. Mark items as complete only when they have been checked, and carry forward anything unresolved. This simple habit makes progress easier to follow and helps the team notice repeated blockers.
